Time to Hire measures how long it takes to move a candidate through the hiring process—from the moment they enter your pipeline, whether by applying for a job or responding to a recruiter’s outreach, to the moment they accept the offer. This metric helps assess how quickly your hiring pipeline moves and how efficiently recruiters engage with candidates.

Formula

Time to Hire = Offer Acceptance Date − First Contact / Application Date (in days)

How to Calculate Time to Hire

  • Record the date when the candidate first entered your system, such as when they were added to your CRM or ATS.
  • Record the date when the candidate accepted the offer.
  • Subtract the first date from the second.
  • To calculate the average Time to Hire for your company, add the Time to Hire for all candidates hired during the selected period and divide the total by the number of hires.

Typical Benchmarks

  • Overall market benchmark: 20–30 calendar days.
  • Non-tech / high-volume hiring: 10–18 days.
  • IT / senior / executive roles: 30–60 days.

How to Reduce Time to Hire

  • Keep the hiring process focused by limiting the number of selection stages (ideally no more than 3–4 touchpoints for most roles).
  • Automate initial screening with an ATS or AI-powered tools.
  • Reduce delays between stages by setting a clear 24–48-hour turnaround time for feedback.
  • Reserve interview slots in hiring managers’ calendars in advance.
