Feedback Response Time

Feedback Response Time measures how long, on average, a candidate waits for a response or decision from a recruiter or hiring manager after each stage of the hiring process, such as resume screening, a take-home assignment, or an initial or technical interview.

Formula

Feedback Response Time = Total candidate waiting time for feedback / Total number of feedback responses (in hours or days)

How to Calculate Feedback Response Time

  • Choose the period you want to analyze (for example, one month) and the stage of the hiring process you want to measure (for example, take-home assignment review).
  • Record the total number of hours or days between the time each candidate completes the stage and the time they receive a response.
  • Divide the total waiting time by the number of candidates who completed that stage.

Typical Benchmarks

  • Initial response to an application: within 24–48 hours.
  • Interview feedback: within 2–3 business days.
  • Take-home assignment review: within 3–5 business days.

How to Improve Feedback Response Time

  • Use automated response templates and candidate status updates in your ATS.
  • Set an internal SLA (Service Level Agreement) for hiring managers—for example, a maximum 48-hour turnaround for take-home assignment feedback.
  • Set up automatic reminders in calendars and messaging apps to prompt hiring managers or team leads.
