Time to Fill measures how long it takes to fill an open position—from the moment the hiring request is approved and the position is officially opened to the moment the selected candidate accepts the offer. It gives you a broader view of how efficiently your hiring process works and how quickly your team can respond to the company’s hiring needs.

Time to Fill = Offer Acceptance Date − Vacancy Opening Date (in days)

How to Calculate Time to Fill

  • Record the date when the hiring request is approved and the position is officially opened.
  • Record the date when the selected candidate accepts the offer.
  • Calculate the number of calendar days between the two dates.

  • Average market benchmark: 30–45 days.
  • Administrative and frontline roles: 15–25 days.
