Interview Invitation Email Template

An interview invitation moves a candidate to the next stage of the hiring process. The message should be clear, include all the key logistics, and make it easy for the candidate to choose a convenient time to meet.

When Should You Send an Interview Invitation?

Invite the candidate as soon as they pass the initial resume screening or a successful introductory call—ideally within 24 hours.

What Should You Include in an Interview Invitation?

  • Interview format. Let the candidate know whether it will be a video interview (Zoom, Teams) or an in-person meeting at your office.
  • Participants and duration. Include the name and title of the interviewer(s) and how long the interview is expected to take.
  • Time options. Offer 2–3 available time slots or provide a link to your calendar.
