Questions to assess time management and prioritization skills

These questions help determine how a candidate manages their work time, structures tasks in a multitasking environment, sets priorities, and handles tight deadlines.

  • What methodologies or task prioritization tools (e.g., the Eisenhower Matrix, Kanban) do you use on a daily basis?
  • What would you do if several urgent tasks came in from different managers during the day, and it was physically impossible to complete all of them on time?
  • Recall a situation when you were unable to complete a task by the deadline. When and how did you inform your team or client about it?
  • How do you protect your working time from unplanned minor distractions and chaotic meetings?
  • How do you estimate the time required to complete a new task that you have not encountered before?
  • Describe your approach to planning your workweek and workday: how do you leave buffer time for unexpected situations?
  • How do you analyze your own use of time when you notice a decline in personal productivity?
  • What do you do when colleagues systematically delay their part of the work, causing your deadlines to shift?
  • How do you decide which tasks are worth completing yourself and which are better delegated or automated?
  • Give an example of when you had to decline a request from a colleague or manager due to a lack of available time.
  • How do you regain focus after being forced to switch between different types of tasks?
